The Course Approval process ensures that the credits you take abroad count toward your degree requirements.

Requirements and instructions for course approvals vary by college. There are several academic units that must evaluate study abroad coursework to ensure credits will be applied to your degree requirements. Course Approval Summary Form is used to track these approvals. Your academic advisor will review the Course Approval Summary Form and indicate how the credits will be applied to your specific degree. Your College office will approve your study abroad participation and will advise you on General Education requirements, residence, advanced hours, honors, and other college requirements.

Course Approval Form and Instructions

To fill out the Course Approval Summary Form, you will need to follow instructions specific to the College to which you belong DURING your study abroad term(s).

Each department has designated a faculty member to evaluate courses and determine Illinois course equivalents for courses taken abroad. Please view the 299 Advisor Listing and contact the person listed for the department you need.

Check with your college regarding internship, field study, or independent study opportunities. Some colleges may not award credit for internships, field studies, or independent studies completed abroad.

Keep copies of your course approvals until all your grades and credit hours have been processed and posted in the University of Illinois system. It is a good idea to scan email copies of your course approvals.

The completed Course Approval Summary Form will need to have all required signatures.

  1. List each study abroad course you plan to take abroad. Each course will need to be approved by the on-campus University of Illinois academic department that corresponds to that academic discipline.
  2. Your academic advisor will review the form and sign the form.
  3. You will need to receive the signature from the College office.
  4. You will then need to sign the form.

This form must be submitted either as part of the study abroad pre-departure process and/or after return, depending on your College’s specific rules.

Pre-Approved Courses and Course Approval Database

Many courses have already been pre-approved. A database of these courses can be found online, which leads you to the Course Approval Database hosted on the LAS academic applications website. All students may use this database by logging in with their University NetID and AD Password. (Please note that students from ACES, Business, and Engineering may find this link under Academic Tools under their specific my.college.illlinois.edu websites, but all pathways to the Course Approval Database lead to the same underlying data.)

Even with over 3,000 courses that have been taken by University of Illinois students, the Course Approval Database is not exhaustive; it does not include all available study abroad programs, and it may not include all courses offered on a specific program.

All study abroad courses already approved as direct equivalents to Illinois courses that satisfy general education requirements will receive credit without additional review or appeal. Please check with your college to verify use of credit.

If your desired courses have not been approved before, please check that all such courses are marked appropriately on your Course Approval Summary Form, making sure the proper rubric and number are listed in column 4.

Grading Options

On the Course Approval Summary Form, column 3 is where you declare if you want letter grades or CR/NC (Credit / No Credit only) to appear on your University of Illinois transcript for coursework abroad. You still need to take the course abroad for a letter grade even if you elected CR/NC as your credit declaration. The conversion to CR/NC will be done at the University of Illinois upon your return.

You must take all courses abroad for letter grades. P/F (Pass/Fail) and S/U (Satisfactory/Unsatisfactory) grading options are not allowed for the courses taken abroad, unless you can prove a course is only offered as such.

If proof is not provided, the course will be processed as non-transferable course work and will not appear on your University of Illinois transcript. If proof is provided, the University of Illinois will process the course with S/U (Satisfactory/Unsatisfactory).

Know your College’s rules and limitations on using study abroad course work graded Credit / No Credit (CR/NC);  Satisfactory / Unsatisfactory (S/U) for graduation requirements at Illinois. Discuss this with your academic advisor.

Students from the College of Education, please note: Due to Illinois State Board of Education licensure rules, students seeking licensure, endorsements, or approvals will not be able to use credit/no credit coursework to meet the requirements.

The grade and credit equivalencies are important so that you can plan the number of credits you need to take while you are abroad. It is also important to understand so that you can best select the grading option.
